1. PAYMENT TERMS

  • Booking Fee: Due upon signing the agreement.
  • 50% Payment: Due 5 months before the wedding day.
  • Final Payment: Due 6 weeks before the wedding day.

All invoices must be paid before the event. If payments are not received on time, our team cannot attend the wedding and proceed with the service.

 

1.1 LATE PAYMENTS & INVOICE DISPUTES

Interest on overdue payments will be charged in accordance with the Finnish Interest Act. All complaints or invoice disputes must be submitted in writing within 8 days of receiving the service. No claims will be accepted after this time. If the invoice is not paid by the due date, we will not be able to attend the event to provide wedding planning, decoration, or floral services. This does not mean the payment can be ignored. The invoice will then be forwarded to debt collection.

 

2. CANCELLATION OF THE CUSTOMER’S ORDER

Any payments made prior to the wedding day will not be refunded to the customer if the wedding planner is canceled unilaterally by the customer. This includes instances where

A) the wedding is canceled,

B) the wedding is rescheduled to a time that is not convenient for Juhlakirsikka, or

C) for any other reason beyond Juhlakirsikka ’s control.

 

2.1. ORDER CANCELLATION COSTS

In the event that the order is canceled at the customer’s request, we will retain the reservation fee and all they payments the customer has paid at that point. Those are not refundable, since they cover the work made at that point.

 

3. SERVICE COMPLETION

Our services are considered fully delivered and accepted once the wedding day is complete and all agreed tasks are fulfilled.

 

4. CHANGING THE WEDDING DATE

Should the customer alter the wedding date after signing the contract, a new contract will be established reflecting the new date, contingent upon Juhlakirsikka’s availability. The new contract will account for any payments previously made by the customer, which will be deducted from the total of the new contract.

If the Juhlakirsikka is unavailable on the new date, we will retain the reservation fee and all they payments the customer has paid at that point. Those are not refundable, since they cover the work made at that point.

 

5. CHANGING THE VENUE

Should the customer alter the party venue after the contract has been signed, a new contract will be established reflecting the updated location. This new contract will consider the specifics of the new venue, the adjusted workload, and the revised number of staff required. A different party venue may necessitate a complete overhaul of decorations and floral arrangements. Furthermore, the timeline may be significantly impacted, particularly concerning the construction and dismantling schedule. Modifications in the new contract may influence the overall contract price. The new contract will account for any payments already made by the customer, which will be deducted from the total of the new contract.

 

6. SAFETY AND PROFESSIONAL CONDUCT

All Juhlakirsikka staff must be treated with respect and professionalism by the couple, the guest and other vendors. If at any point during the event our team is subjected to threatening, aggressive, inappropriate or intoxicated behavior, whether verbal or physical, we reserve the right to immediately suspend services and leave the event. In such cases, the full agreed invoice amount remains payable. This clause protects our team and ensures a safe, respectful working environment for all involved.

 

7. MODIFICATIONS TO SERVICES

The client may request to modify or add services in accordance with their contract with Juhlakirsikka. All changes, including additions to decorations, floral arrangements, rental items, or other services, must be submitted in writing (e.g., by email) and are subject to prior written approval by Juhlakirsikka before implementation. Any such changes may affect the total cost.

The client is entitled to a deduction of ten percent (10%) from the total amount only if the modification is made and approved no later than six (6) weeks prior to the wedding date, which marks the due date of the final payment. Additional services may still be added after this point, provided they are mutually agreed upon by both parties. In such cases, the client will be invoiced separately for the added services.

 

8. CUSTOMER OBLIGATIONS

The customer is required to address the questions and make decisions in accordance with the established timeline. This includes selecting floral arrangements no later than two months prior to the wedding; any modifications made after this deadline may incur additional charges from Juhlakirsikka.

 

9. PRIVACY & DATA HANDLING

Juhlakirsikka follows all applicable Finnish and EU data protection laws (e.g. GDPR). Clients must accept our data policies, which are clearly available on our website.

 

10. CONFIDENTIALITY

The parties agree to maintain the confidentiality of all personal and event-related information. The planner is permitted to photograph the party venue during the decoration process, throughout the wedding, and after the event. However, the wedding couple may refuse this permission; any request to restrict or prohibit photography must be communicated to Juhlakirsikka no later than 30 days prior to the wedding.

 

11. COOPERATION WITH OTHER vendors

The customer agrees to collaborate with other service providers in alignment with Juhlakirsikka’s plans and to ensure adherence to the established deadlines, wedding day schedule, and instructions.

 

If services from outside vendors are invoiced via Juhlakirsikka:

  • Juhlakirsikka is not liable for the quality or outcome of those services.
  • Likewise, Juhlakirsikka is not responsible to the service provider if the client fails to pay.
  • We are not responsible for the actions, delays, or performance of any third-party vendor hired by the client.

 

12. LIMITATION OF LIABILITY FOR SERVICES PROVIDED BY OTHER VENDORS

Juhlakirsikka is solely accountable for its own operations and the services it offers.

We are not liable for the actions of other vendors (including catering services, rentals, transportation companies, or other partners), the quality of their services or products, compliance with schedules, or any other issues that fall outside Juhlakirsikka ’s direct oversight.

Juhlakirsikka may recommend partners and third parties upon the customer’s request; however, the customer remains responsible for entering into agreements and adhering to the terms of those agreements with these third parties.

 

Juhlakirsikka is not a party to these agreements and bears no responsibility for the functionality, quality, or potential damages related to these services or products. The customer acknowledges and accepts that each party is accountable for its own actions and the associated risks.

 

13. USE OF CLIENT’S OWN DECORATIONS AND ADDITIONAL TASKS

If agreed upon in advance, Juhlakirsikka may decorate the venue using the couple’s personal items, such as place cards, menus, signage, and thank-you gifts, ensuring their proper placement and installation. However, Juhlakirsikka does not accept responsibility for the condition, stability, or presentation of client-provided items (e.g., unsteamed tablecloths or fragile decor).

To ensure a smooth setup, all decoration-related details must be agreed upon ahead of time, and all items must be delivered to Juhlakirsikka no later than seven (7) days before the event. Any equipment or supplies necessary for proper installation must also be provided by the client.

If additional items or tasks are presented to Juhlakirsikka on the wedding day without prior notice, we reserve the right to charge additional fees. Furthermore, due to pre-planned staffing and schedules, we cannot guarantee the execution of any last-minute requests. Such tasks will only be carried out if time and resources permit, with priority given to the agreed-upon plan and timeline to ensure the best possible service.

At the end of the event, Juhlakirsikka will collect the couple’s personal items, including decorations, gifts, and lost-and-found belongings.

For security purposes, we document and record the collected items, including a video log of any wedding gifts, which are counted and returned or delivered to the agreed location (e.g., reception desk at a hotel or designated room at the venue). Transportation of these items is included in the service. However, Juhlakirsikka does not assume responsibility for the condition of any decorations upon return, especially if items are fragile or deteriorate when dismantled after the event (e.g. signage etc).

 

14. UNEXPECTED ADDITIONAL WORK

Our team is pleased to assist with various tasks at the event venue and undertake additional responsibilities. This section pertains to instances where the team is assigned a task that was not previously agreed upon and is not specified in this contract.

Additional work is charged at €150/per person, per hour for the initial hour. This fee encompasses the supplementary wages of team members or, if required, the travel expenses and salaries of the on-call team member dispatched to the location.

 

15. VENUE LIMITATIONS

Juhlakisikka adheres to the regulations governing event venues, including wedding venues, party venues, and other potential external locations and interior regulations and execute decoration, floral arrangements, and event organization within their parameters.

We comply with all venue rules and restrictions. We do not move any venue furniture, equipment, or infrastructure. This must be arranged with the venue’s staff.

 

16. ILLNESS OF THE TEAM

In the event that a member of the Juhlakirsikka team becomes ill or is unable to perform their duties related to decoration, floral arrangements, or event coordination as outlined in the contract, a substitute team member will be assigned to fulfill those responsibilities. This includes the wedding day coordinator role. If the designated coordinator cannot attend the wedding, another Juhlakirsikka wedding planner will take over their duties.

 

17. PHOTOGRAPHY

The Juhlakirsikka team may capture photographs and videos of the party venue during the decoration process and upon its completion. Additionally, during the celebration, content will be recorded for potential use in social media, marketing, or websites. Images or videos will not be published until the guests have arrived at the venue. The material will feature the JK team without depicting the wedding couple or guests in a recognizable manner. We do not disclose any other identifying information, aside from the location. If desired, we can tag you in the photos. Please inform us at least 30 days prior to the wedding if photography of the venue and the event is not permitted.

 

18. ALCOHOL SERVICE

Our company does not possess a liquor license; therefore, all matters pertaining to alcohol are the responsibility of the wedding couple or their selected external service provider.

Our services explicitly exclude the handling of alcohol in any capacity. We bear no responsibility for the transportation, arrangement, serving, storage, or removal of alcohol, nor for any issues arising from alcohol consumption.

We recommend that a minimum of two bartenders be present throughout the duration of service following dinner, and they should also oversee the necessary final cleaning in both the bar and hall areas.

 

19. FINAL CLEANING

When final cleaning is included in the wedding venue’s contract, the responsibility for it lies with the venue. Juhlakirsikka ensures cleanup of its own materials and working areas, but is not responsible for the general cleaning of the venue.

 

20. DEVELOPMENT AND FEEDBACK

Providing feedback is voluntary and highly valued, and it is anticipated that customers will offer insightful input. The feedback received from customers aids Juhlakirsikka in enhancing its services.
